5.01 Planned maintenance statuses and explanation

Why do we have statuses? #

As a concept, Servista is not only a ticket management system, it provides you a complete maintenance management system. We designed this system based on our 20+ years of experience in the facility management field. 

So, when you manage a planned maintenance system, the statuses of each maintenance is important to keep things under control.

List of statuses and their colors #

While using the Servista, you can reach the list of work order statuses from the calendar screen, located under the Planned Maintenance. When you click on the (?) located at the top right of the screed (see blue arrow below), you will open an information screen about the colors and meanings of the work order statuses. You can check the statuses from here.

Meaning of statuses #

As you can find in the screen below, anytime you can find the list and color legend within the Servista. Here we will give you more detailed information about these statuses.

Below you can see the statuses, their colors and explanations about them;

Will be PlannedWorks with a contract, a maintenance period and awaiting a maintenance date. You need to plan this maintenance within the dedicated period
PlannedScheduled maintenance. On this date, the Contractor will carry out maintenance. When you plan a maintenance activity to a specific date, its status will be planned. Before taking the action, you can revise the planning date anytime from the monitoring screen of planned maintenance
UnperformedMaintenances not performed on the scheduled date. Needs to be rescheduled. The planned maintenance automatically changes their statuses to unperformed after 24 hours of planning date. You need to reschedule it again
CompletedStatus of a maintenance completed by contractor becomes completed
Cost EnteredThis is an intermediate state where contractors complete pricing in the additional materials used during the maintenance work.. After this status, progress payment request can be created
Progress PaymentWorks completed by the Contractor, costs entered and awaiting Employers approval
ApprovedWorks in progress payment status approved by the customer. These maintenance can be billed
InvoicedWorks already invoiced by the contractor. Usually, you should send the list of invoiced maintenance activities as an attachment to the related invoice
CanceledCanceled maintenances

How to change a maintenance’s status? #

In the Servista system, usually you cannot directly change statuses of the maintenance. Usually they change automatically based on the action taken by the service suppliers or facility owners.
